Estimated Additional Expenses

The following are additional estimated expenses, not included in the IAP Program Fee, to help plan and prepare for the program. These estimates are updated regularly based on currency fluctuations and past participant feedback. Actual amounts vary greatly based on personal spending habits and independent travel.

Housing $6,500.00
Local Transportation $1,200.00
Meals $4,000.00
Personal/Miscellaneous $2,500.00
Airfare $1,000.00

Total Estimated Additional Expenses $15,527.00

Airfare is an estimate based on a round trip fare from Chicago-London-Chicago.

Housing estimate is for Alexander Fleming or Harrow hall. If students choose to live off-campus or find private housing, add ~$1,000. Housing in North Lodge is available for £4,750.00.

UK student visa requirements vary based on program length and type. For this program, Semester students who do NOT complete an academic internship will enter the UK as a Standard Visitor, which requires the ETA (Electronic Travel Authorisation) for US citizens. The ETA is £20 GBP.

Semester students who DO complete an academic internship must apply for a Student Visa. The visa cost is currently £558. As part of the Student Visa application process you must make an appointment in Chicago or Milwaukee to have your "biometrics" taken (fingerprints and photograph). This in-person appointment is required; students are responsible for their own travel arrangements for the appointment.

Personal miscellaneous estimates include daily living expenses, spending money, reasonable travel, and pre-departure costs.

Note: All additional costs such as quarantine, additional housing, or additional travel incurred (e.g., due to pandemic-related regulations) that are not specifically included in the IAP Program Fee are the student’s responsibility.

Student Cancellation And Withdrawal Policies

The University of Westminster publishes withdrawal and refund information here:
https://www.westminster.ac.uk/international/study-abroad/study-abroad-programmes-terms-and-conditions

Formal notification of cancellation and withdrawal must be submitted in writing to the Education Abroad Team at educationabroad@westminster.ac.uk. Fee liability will be determined by the date formal written notification is received.

If you decide you no longer wish to study with Westminster before 23:59 on the day before the start of Teaching Week 3, you will be entitled to a refund for any fees already paid. After the start of Teaching Week 3, no refunds will be issued and you will be liable for the full semester of fees.

Housing Withdrawal and Refund Policy:

Please note that the below policy applies only once you have accepted your housing offer:

1.2.1 To withdraw from your housing offer you must email educationabroad@westminster.ac.uk and the studentaccommodation@westminster.ac.uk.

1.2.1 You will not be charged if you notify us before 20 December.

1.2.2 If you do not advise us of your intention to withdraw from the university’s accommodation by 20 December you will be liable for the full rental fee until a replacement resident can be found.

1.2.2.1 If it is not possible for the University to rent the room to another resident then you are not entitled to any refund of your accommodation fees. You will be liable for full payment of all accommodation fees.

1.2.2.2 Finding a new resident remains the sole responsibility of the University. You are not permitted to find a replacement resident.

1.2.3 This policy applies to all circumstances relating to withdrawal from the programme, including any decision to shorten your length of study from, for example, a year to a semester programme.

Student cancellations or withdrawals are effective the date written notification is received. For cancellations and withdrawals for any reason, only recoverable portions of the IAP Program Fee will be waived or refunded. Additionally, in all cases:

  • The IAP Acceptance Deposit is non-refundable, and
  • Estimated Additional Expenses and any costs not included in the IAP Program Fee are the student’s responsibility.

As recoverable costs can vary greatly depending on the program and the timing of the cancellation/withdrawal, IAP strongly encourages students to check with their IAP Financial Specialist regarding specific amounts before making a final decision.

If a student cancels their participation between the dates below, a $300 IAP Cancellation Fee will be charged in addition to any non-recoverable IAP Program Fee costs. The IAP Administrative Fee and Differential will not be charged.

Program Duration Cancellation Fee Date Range
Summer April 1 to Program start date
Fall Semester June 1 to Program start date
Academic Year June 1 to Program start date
Winter Intersession November 15 to Program start date
Spring Semester November 15 to Program start date
Calendar Year January 1 to Program start date
Spring Break February 1 to Program start date

If a student withdraws from their program after the program starts, the full IAP Administrative Fee and Differential will be charged in addition to all non-recoverable IAP Program Fee costs.

Conditional Participant: Should a student not meet the established conditions and their participation is cancelled, only recoverable IAP Program Fee costs will be waived or refunded.

Students Placed on Probation: Should a student be placed on probation and their participation is cancelled, only recoverable IAP Program Fee costs will be waived or refunded.

Change of Program Duration: If allowable per program, a student may defer their participation for the same program to a future duration within the current or next fiscal year. In this case, the IAP Acceptance Deposit will be deferred to the new duration and the $300 IAP Cancellation Fee will not be charged. The student may also incur non-recoverable portions of the IAP Program Fee depending on the written notification date of deferral.

Called to Active U.S. Military Service: IAP follows the UW-Madison policy for enrolled UW-Madison students who are called to active U.S. military service.

Program Cancellation

If a program is cancelled at any point either before or after the program begins and students cannot receive any academic credit, the student will receive a full refund of the IAP Administrative Fee, Differential and any recoverable costs.

If a program is cancelled at any point when students are able to receive academic credit (including from coursework completed or by switching to a virtual delivery method), no refund of the IAP Program Fee is provided, with the exception of any recoverable costs.

For programs with an academic or calendar year duration in which students can receive credit for their first semester only, the second semester IAP Program Fee will be refunded.

In all cases, Estimated Additional Expenses and any costs not included in the IAP Program Fee are the student’s responsibility. This includes any additional transportation to return home if a program is cancelled while in progress, or any additional costs incurred as a result of the cancellation.

Payment Schedule

Accepted students pay a non-refundable IAP Acceptance Deposit to secure a place in the program, which is credited towards the IAP Program Fee. The remainder of the IAP Program Fee is billed by the UW-Madison Bursar's Office.  Students receive e-bill statements for these fees.  The Bursar’s website lists due dates by term and official IAP Program Fee due dates are on e-bills. If a student has a problem meeting the payment due date, the student should contact their IAP Financial Specialist before the due date to avoid penalties.
