International Academic Programs (IAP) reserves the right to adjust the fees and expenses at any time.

Estimated Additional Expenses

The following are additional estimated expenses, not included in the IAP Program Fee, to help plan and prepare for the program. These estimates are updated regularly based on currency fluctuations and past participant feedback. Actual amounts vary greatly based on personal spending habits and independent travel.

Airfare $1,000.00
Books and Supplies $100.00
Local Transportation $200.00
Meals $900.00
Personal/Miscellaneous $850.00
Total Estimated Additional Expenses $3,050.00

Airfare estimate is based on a round-trip: Chicago-Paris-Chicago.

If students submit their IES application using the IES online application process, the $50 application fee is wavied.

While a homestay is included in the program a shared apartment option is available for $375.  This fee is billed by IAP through the UW-Madison Bursar once the housing option is confirmed by IES.

Meals estimate is for meals not included with the homestay.  Students in apartments have kitchen access, but no meals are provided, and should budget $1,500 for meals.

Personal/Miscellaneous estimate includes daily living expenses, spending money, reasonable travel, and pre-departure costs. Some items such as textbooks may be billed separately by IES Abroad.

Note: All additional costs such as quarantine, additional housing, or additional travel incurred (e.g., due to pandemic-related regulations) that are not specifically included in the IAP Program Fee are the student’s responsibility.

Student Cancellation And Withdrawal Policies

UPDATED COVID-19 IES Refund Policy:
If IES Abroad cancels a program prior to its official arrival date then IES Abroad will issue a full refund of monies then paid to IES Abroad to date for the program, including the Confirmation Deposit, to the paying party.

Students who voluntarily withdraw from an IES Abroad program more than 14 days before the program’s official published arrival date will receive a full refund of the program fees then paid to IES Abroad to date, including the Confirmation Deposit. Students voluntarily withdrawing from a program less than 14 days before the program’s official arrival date will be eligible for a refund of recoverable costs as determined by IES Abroad at the time of their written withdrawal notice. Students voluntarily withdrawing on or after the program’s official arrival date will receive no refund. IES Abroad will issue all refunds to the party that paid IES Abroad for those fees.

Students voluntarily withdrawing from a program due to the individual student or their family member having a serious illness or injury after the program’s arrival date are eligible to receive recoverable cost refunds. All emergency withdrawals must be documented in writing by a physician and approved in advance in consultation with the IES Abroad Dean of Students Office in Chicago. The amount of any possible recoverable cost refund will be determined on a case-by-case basis in the sole discretion of IES Abroad.

If IES Abroad suspends a program after its official arrival date, IES Abroad will issue recoverable cost refunds to the paying party for housing and field trips, but only if and when IES Abroad has recovered actual refunds from its vendors. Tuition is not refundable if students are provided an option to continue pursuing courses for credit, either in person or online. In cases where IES Abroad is not able to provide an option for students to continue pursuing credit online or in person, students may be eligible for a refund of recoverable tuition costs.

Any student who is dismissed by IES Abroad after the arrival date for any program for any reason forfeits the possibility of any refund, including without limitation a refund of used or unused expenses, as well as the comprehensive program fee.

The following table highlights categories of fees which qualify for refunds and those that do not qualify for refunds per the written policy above:

Student cancellations or withdrawals are effective the date written notification is received. For cancellations and withdrawals for any reason, only recoverable portions of the IAP Program Fee will be waived or refunded. Additionally, in all cases:

  • The IAP Acceptance Deposit is non-refundable, and
  • Estimated Additional Expenses and any costs not included in the IAP Program Fee are the student’s responsibility.

As recoverable costs can vary greatly depending on the program and the timing of the cancellation/withdrawal, IAP strongly encourages students to check with their IAP Financial Specialist regarding specific amounts before making a final decision.

If a student cancels their participation between the dates below, a $300 IAP Cancellation Fee will be charged in addition to any non-recoverable IAP Program Fee costs. The IAP Administrative Fee and Differential will not be charged.

Conditional Participant: Should a student not meet the established conditions and their participation is cancelled, only recoverable IAP Program Fee costs will be waived or refunded.

Students Placed on Probation: Should a student be placed on probation and their participation is cancelled, only recoverable IAP Program Fee costs will be waived or refunded.

Change of Program Duration: If allowable per program, a student may defer their participation for the same program to a future duration within the current or next fiscal year. In this case, the IAP Acceptance Deposit will be deferred to the new duration and the $300 IAP Cancellation Fee will not be charged. The student may also incur non-recoverable portions of the IAP Program Fee depending on the written notification date of deferral.

Called to Active U.S. Military Service: IAP follows the UW-Madison policy for enrolled UW-Madison students who are called to active U.S. military service.

Program Cancellation

If a program is cancelled at any point either before or after the program begins and students cannot receive any academic credit, the student will receive a full refund of the IAP Administrative Fee, Differential and any recoverable costs.

If a program is cancelled at any point when students are able to receive academic credit (including from coursework completed or by switching to a virtual delivery method), no refund of the IAP Program Fee is provided, with the exception of any recoverable costs.

For programs with an academic or calendar year duration in which students can receive credit for their first semester only, the second semester IAP Program Fee will be refunded.

In all cases, Estimated Additional Expenses and any costs not included in the IAP Program Fee are the student’s responsibility. This includes any additional transportation to return home if a program is cancelled while in progress, or any additional costs incurred as a result of the cancellation.

Payment Schedule

Accepted students pay a non-refundable IAP Acceptance Deposit to secure a place in the program, which is credited towards the IAP Program Fee. The remainder of the IAP Program Fee is billed by the UW-Madison Bursar's Office.  Students receive e-bill statements for these fees.  The Bursar’s website lists due dates by term and official IAP Program Fee due dates are on e-bills. If a student has a problem meeting the payment due date, the student should contact their IAP Financial Specialist before the due date to avoid penalties.

Payments received after the due date listed on the e-Bill will be charged a $100 late fee. IAP reserves the right to cancel a student's participation and/or to place a hold on the student's UW record for failure to pay.

Information on payment methods and delivery, late fees, and financial aid disbursement and refunds can be found on the Bursar's Office website. Review the Study Abroad and Study Away Handbook for more details on the payment process.
