The IAP Program Fee is a fixed cost including academic expenses, administrative costs, mandatory health insurance, housing, orientation, cultural activities and local excursions.
*"The IAP Program Fee" and all processes and policies stated on this cost sheet apply to all participants on programs managed by International Academic Programs (IAP) and in partnership with the College of Agricultural and Life Sciences, the College of Engineering, and Wisconsin School of Business.
International Academic Programs (IAP) reserves the right to adjust the fees and expenses at any time.
Estimated Additional Expenses
The following are additional estimated expenses, not included in the IAP Program Fee, to help plan and prepare for the program. These estimates are updated regularly based on currency fluctuations and past participant feedback. Actual amounts vary greatly based on personal spending habits and independent travel.

Airfare is an estimate based on a round-trip fare from Chicago-Rome-Chicago.
Personal/Miscellaneous estimates include daily living expenses, spending money, reasonable travel, and pre-departure costs.
Note: All additional costs such as quarantine, additional housing, or additional travel incurred (e.g., due to pandemic-related regulations) that are not specifically included in the IAP Program Fee are the student’s responsibility.

For tax and scholarship purposes, the following is a breakdown of the IAP Program Fee by qualified and non-qualified expenses:

For summer 2021 study abroad and internship program participants are automatically covered by CIEE’s Program Assurance Advantage, which only covers the following prior to CIEE Program start date:
• The option to change participation in a study abroad or internship program to an equivalent program in a new location for no additional cost (subject to availability). “Equivalent program” is defined as one with similar program costs, duration, and/or term.
o Note all awarded and accepted CIEE scholarship funds are transferable to a student’s new program but may not exceed the scholarship “cap” for the new term
• The option to defer confirmed participation in a study abroad or internship program to another equivalent CIEE term for no additional cost. “Equivalent term” is defined as one in similar duration (ie – summer 4-week or 8-week session; spring/fall 6-week block or semester program). Students wishing to switch to a longer term may opt to pay the difference in program fee. Students wishing to switch to a shorter term will be refunded the difference in Program Fee.
• A full refund of CIEE’s Program Fee (Educational Costs + Housing + Insurance), as well as your Confirmation Fee*, and Insurance, if:
o the participant decides to withdraw from the Study Abroad or internship application before a program’s published start date OR
o CIEE cancels or suspends the participant’s program at any point prior to the program’s published start date
Other fees including (but not limited to) visa fees, insurance(s), School of Record and/or transportation related expenses, like airfare, are not included in the CIEE Program Fee are not eligible for reimbursement. CIEE scholarships and grants can be applied to a new program or term so long as your eligibility does not change. Student withdrawal on or after the advertised CIEE program arrival date: This is not covered under CIEE’s Program Assurance Advantage. If written notification of withdrawal for a confirmed participant is received by CIEE on or after the advertised program arrival date for any given term, or if a confirmed participant does not notify CIEE in writing of plans to withdraw and does not show up on-site on the advertised arrival date for the first session of the student’s confirmed participation record, the following refund policy for partial attendance applies.
The application fee, Participation Confirmation payment, and applicable School of Record fees are non-refundable. Program fee refunds are calculated per the following:
• Withdrawal on or up to day 4 of the advertised program or first program session-- 50% refund
• Withdrawal from day 5 through day 10 of the advertised program or program session-- no refund
• Withdrawal after day 10 until the end of the program or program session—no refund, and an additional 25% withdrawal fee for any subsequent sessions confirmed for participation will also be due.
In cases where payment has not yet been received by CIEE, payment of the Participation Confirmation fee, applicable School of Record fees, and any unpaid balance after the withdrawal policy is enforced will be due.
CIEE Program Cancellation: CIEE reserves the right to cancel a CIEE Study Abroad program due to insufficient enrollment or other factors beyond its control. If an emergency or a force majeure event requires that a program be cancelled following the program start date and prior to the end of an academic term, CIEE will make reasonable efforts to make alternative arrangements in order to allow students to complete their academic work, but cannot guarantee that full or partial credit will be obtained. If alternative arrangements cannot be made, CIEE will make reasonable efforts to collect documentation of student work completed to date. CIEE will share this information with the home institutions of students enrolled in the program so they will be able to evaluate, per home institution policies, whether to grant their students any, full, or partial credit for work completed.
If alternative arrangements can be made for the student to complete the program’s academic work for cancelled programs, after the program start date, there will be no refund of program fees. If no alternative arrangements can be made for student to complete the program’s academic work, for cancelled programs after the program start date, CIEE will make reasonable efforts to recover costs for the cancelled portion of the program and refund those monies to the student. However, CIEE pays the bulk of program costs, including but not limited to educational expenses, housing, study center support, health, safety and security and administrative costs upfront and before the program start date. These upfront payments are non-recoverable costs and are non-refundable. CIEE does not give refunds (or partial refunds) for unused services that are included as part of the advertised program fee.
Student cancellations or withdrawals are effective the date written notification is received. For cancellations and withdrawals for any reason, only recoverable portions of the IAP Program Fee will be waived or refunded. Additionally, in all cases:
- The IAP Acceptance Deposit is non-refundable, and
- Estimated Additional Expenses and any costs not included in the IAP Program Fee are the student’s responsibility.
As recoverable costs can vary greatly depending on the program and the timing of the cancellation/withdrawal, IAP strongly encourages students to check with their IAP Financial Specialist regarding specific amounts before making a final decision.
If a student cancels their participation between the dates below, a $300 IAP Cancellation Fee will be charged in addition to any non-recoverable IAP Program Fee costs. The IAP Administrative Fee and Differential will not be charged.

If a student withdraws from their program after the program starts, the full IAP Administrative Fee and Differential will be charged in addition to all non-recoverable IAP Program Fee costs.
Conditional Participant: Should a student not meet the established conditions and their participation is cancelled, only recoverable IAP Program Fee costs will be waived or refunded.
Students Placed on Probation: Should a student be placed on probation and their participation is cancelled, only recoverable IAP Program Fee costs will be waived or refunded.
Change of Program Duration: If allowable per program, a student may defer their participation for the same program to a future duration within the current or next fiscal year. In this case, the IAP Acceptance Deposit will be deferred to the new duration and the $300 IAP Cancellation Fee will not be charged. The student may also incur non-recoverable portions of the IAP Program Fee depending on the written notification date of deferral.
Called to Active U.S. Military Service: IAP follows the UW-Madison policy for enrolled UW-Madison students who are called to active U.S. military service.
If a program is cancelled at any point either before or after the program begins and students cannot receive any academic credit, the student will receive a full refund of the IAP Administrative Fee, Differential and any recoverable costs.
If a program is cancelled at any point when students are able to receive academic credit (including from coursework completed or by switching to a virtual delivery method), no refund of the IAP Program Fee is provided, with the exception of any recoverable costs.
For programs with an academic or calendar year duration in which students can receive credit for their first semester only, the second semester IAP Program Fee will be refunded.
In all cases, Estimated Additional Expenses and any costs not included in the IAP Program Fee are the student’s responsibility. This includes any additional transportation to return home if a program is cancelled while in progress, or any additional costs incurred as a result of the cancellation.
Accepted students pay a non-refundable IAP Acceptance Deposit to secure a place in the program, which is credited towards the IAP Program Fee. The remainder of the IAP Program Fee is billed by the UW-Madison Bursar's Office. Students receive e-bill statements for these fees. The Bursar’s website lists due dates by term and official IAP Program Fee due dates are on e-bills. If a student has a problem meeting the payment due date, the student should contact their IAP Financial Specialist before the due date to avoid penalties.

Students may incur additional charges during or after their program (e.g.: single room charge, additional course fee, etc.) for which the student will be billed. At any time, a student can view their account balance and financial aid awards in MyUW. Payments must be paid by the due date on the student's e-Bill. Payments received after the due date listed on the e-Bill will be charged a $100 late fee. IAP reserves the right to cancel a student's participation and/or to place a hold on the student's UW record for failure to pay.
